Your Office - From Chaos to Clarity

When starting a new venture most business owners are excited, passionate and committed to making their business productive and profitable. Very soon after many people realize that in order to make a profit, they have to organize their papers, books and office supplies. Without a proper and very simple filing system the paper clutter will take over and your productivity will diminish.
 
According to an Office Depot Survey, 76% of people are losing one hour per day due to disorganization. As many as 70% would like to get organized and be more productive, but don’t know where to start.
 
There is a fear of discarding old reference books or any kind of books that you may need one day. Boxes of old files can stack up quickly and the exercise equipment that hasn’t been used in years becomes a coat hanger. Overflowing waste baskets are overwhelming and you may end up feeling stuck instead of inspired.
 
We only use 20% of our belongings, that includes papers. Keep that in mind when you start your organizing mission.
 
Here are some simple and practical tips to help you get your office organized, increase your productivity and enhance your sanity.

  • Get rid of things that don’t belong in your office: Unused furniture, the tread mill you haven’t used in years, the many boxes of stuff from your favorite aunt, the unfinished projects and ideas.
  • With a plastic container, walk through your office and collect all the loose papers, old magazines, old traveling brochures, any catalogues going back a few years and old grocery receipts etc.
  • Sort these papers according to their importance: new bills, invoices to send out, important projects and meetings.
  • Put all your important dates and numbers in your planner or Blackberry.
  • Pick up the rest of the papers and ask yourself: “Do I need this? Does it help to make a better living? In case I need it would I be able to find it on the internet?”
  • Create a few categories, no more than 10: Finance, Insurance, Marketing, Tax Records, Education, Travel and Family.
  • Choose a subcategory for each of your categories ie: Under finance you could list the names of your banks, investments, loans
  • For easy and attractive filing system use color coding. Green for money, yellow for marketing, red for loans.

Maintaining your office and filing system is important. Assign one hour per week to file your papers, clear the clutter that accumulates through the week. Make your office beautiful and inviting, even if you don’t have clients coming to your office. Frame a few inspirational quotes, have a favorite piece of art hanging on your wall. Display a couple of pictures of your kids, grandkids or somebody else you love.
 
If you feel overwhelmed, hire a professional to get you on track. With a few simple systems in place you will find yourself being less stressed and more creative and productive.
